Time tracking for home care teams

A home care worker can see eight or ten clients before lunch, with a few minutes of driving or cycling in between. TimeTracking records that day as it really went: visit time, travel time and kilometres, checked by the carer and approved by the team lead, without storing anything about the care itself.

Animated demo: a home care worker's morning of six short client visits fills a timeline, travel time between clients is added, she corrects one visit that ran longer, submits her day and the team lead approves it. Morning round, Travel between clients, Check the day, Submit and approve.

A home care day in four steps

  1. Plan the round

Visits are planned in the roster per carer and per day, labelled the way you choose, for example with a client number or a route name instead of a full name.

  2. Track visits and travel

Carers start and stop each visit in the app, or confirm a visit proposed from the roster. Travel time and kilometres between clients are recorded as their own types.

  3. Check and submit the day

At the end of the round the carer sees visits, travel and totals on one screen, corrects what ran differently and submits the day.

  4. Approve and export

The team lead approves the submitted days of the team. Visit time, travel time and kilometres go to payroll, each with its own code.

Many short visits, recorded as they happen

Home care rarely fits a nine-to-five timesheet. A morning round can be a 15-minute medication visit, a 45-minute morning routine, a quick check and another half hour across the neighbourhood. Writing that down afterwards from memory is where minutes get lost. In TimeTracking each visit is its own entry with a start and end time, so the day adds up without reconstruction.

The timer keeps running when the app is closed or the phone restarts, and visits recorded without signal are queued until the phone is back online. When a visit runs over, the carer adjusts the end time in seconds.

  • Each visit as its own entry with start and end time
  • Timer that survives restarts, offline queue
  • Visits proposed from the roster (Pro)
  • Email reminder when a day is still missing

Travel time and kilometres between clients

Travel between clients is working time, and it is often paid differently from visit time. TimeTracking records travel time as a separate hour type and kilometres per trip, calculated from the start and end address. Payroll gets a clean split between visit time, travel time and mileage, each mapped to its own code.

Planners see how much of each round is travel. A route that turns out to have more driving than care shows up in the numbers, not only in complaints from the team.

  • Travel time as its own hour type
  • Kilometres per trip at the rates you set
  • Separate payroll codes for visits, travel and mileage

Carers check their own day

The person who did the round knows best what happened. At the end of the day the carer sees all visits, travel and totals on one screen, fixes a visit that ran longer, adds a forgotten trip and submits. The team lead receives a checked day instead of a pile of corrections at the end of the month.

Team leads approve submitted days on the web or on their phone, or send a day back with a comment. Every change and approval is kept in the audit trail, so a question about last month's hours has a clear answer.

Client privacy comes first

TimeTracking records working time, travel and expenses. It is not a care-planning system or a client record, and it stores no diagnoses, care plans or care reports. You decide how visits are labelled, for example with a client number or a route name, so the app does not need a client's full name.

Data is hosted in the EU, in Ireland, and access depends on the role: carers see their own hours, team leads see their team. The app does not track carers' location and collects no screenshots or activity data.

  • No care data, diagnoses or care plans
  • Visits labelled with a client number if you prefer
  • No location tracking, no screenshots
  • EU hosting in Ireland

Next to your care planning, not instead of it

Your care planning system decides which client receives which care. TimeTracking does not try to replace it. It handles the time side of the round: what each carer worked, how long they travelled and what goes to payroll.

Payroll exports are live as an SD Worx-format export and configurable CSV and XLSX files, and the REST API connects TimeTracking to other systems. Connectors for Loket, Nmbrs and AFAS are coming soon.

Simple for every carer

Home care teams span every age and background. The app is available in 20 languages, uses large buttons and follows the phone's own text size. Carers without a work email log in with a one-time code by SMS.

Today the timer runs in the app. A lock screen timer depends on upcoming native app builds and is coming soon.

Frequently asked questions

Does TimeTracking store client or care data?

No. It records working time, travel time, kilometres and expenses. It is not a care-planning system or client record, and visits can be labelled with a client number instead of a name.

Can travel time between clients be paid separately?

Yes. Travel time is its own hour type and kilometres are recorded per trip, so both can be exported with their own payroll codes.

Do carers submit their own day?

That is the usual flow: the carer checks visits and travel at the end of the round and submits, then the team lead approves. The office can also enter or correct hours.

Does the app track where carers are?

No. There is no continuous location tracking. Geofence nudges at addresses are planned; when they arrive, they will be optional.

Can we connect our care planning system?

There is no ready-made connector for care planning systems. The REST API and file exports let you exchange people and approved hours with the systems you already use.
