Reminders today, geofence nudges next

The most common timesheet error is not fraud. It is hours that were never logged. TimeTracking already reminds people when hours are missing and before a deadline. Geofence nudges, a prompt to start the clock when someone arrives at a site, are planned but not available yet.

Animated demo, coming soon: arriving inside a site's geofence prompts the worker to start tracking, leaving prompts them to stop. Site and radius, Arrival, Start tracking?, Leaving.

How reminders work today

  1. Set the period and deadline

An admin sets when hours have to be submitted, for example every Monday morning for the week before.

  2. Missing hours get an email

When someone has days without hours, TimeTracking sends them an email reminder with a link straight to the period that needs filling in.

  3. A nudge before the deadline

As the deadline gets close, people who have not submitted yet are nudged again. Those who submit on time earn rewards in the app.

Built to remind, not to watch

Reminders in TimeTracking are a convenience for the employee, not a surveillance tool for the office. They are based on hours that are missing, not on where someone is.

The same principle will apply to geofencing when it arrives: location only around configured sites, never a breadcrumb trail of where someone drove during their lunch break, and never a clock that starts or stops on its own.

  • Email reminder for missing hours
  • Nudge before the submission deadline
  • Rewards for submitting on time

Fewer late timesheets, fewer corrections

Each late or incomplete timesheet creates work later: a message from the planner, a payroll line someone has to check by hand, an approval that waits. A reminder at the right moment prevents the gap instead of fixing it.

Predictive time tracking makes the follow-up quick. When the reminder brings someone back to the app, the missing days are already proposed from the roster and last week, so catching up takes a few taps.

Coming soon: geofence nudges

Geofence nudges are on the roadmap. The plan: an admin adds a work site with an address and a radius, the phone's own geofencing notices arrival, and the employee gets a prompt to start tracking, with a reminder to stop when they leave. Every nudge can be ignored.

Geofencing depends on native modules and push notifications in the mobile apps, which are not built yet. Until then, reminders, the in-app timer and the shared kiosk at the entrance cover the moment someone starts work.

  • Planned: prompt on arrival at a configured site
  • Planned: reminder to stop when leaving
  • Planned: location only around configured sites

What works today on site

For teams without personal phones on site, a shared kiosk tablet at the entrance lets each worker clock in with a 6-digit PIN. For people with the mobile app, the timer keeps running even if the app is closed or the phone restarts.

Hours entered without a connection are queued on the phone and sent as soon as it is back online, so a site without signal does not lead to missing hours.

Frequently asked questions

Are geofence nudges available today?

No. Geofence nudges and location-based start are planned but not built yet. Email reminders for missing hours and deadline nudges are available today.

Does TimeTracking track employees' location?

No. Reminders are based on missing hours, not on location. Planned geofencing will only work around configured sites and will not build a continuous trail.

Will the clock start automatically when someone arrives?

No. Even when geofencing arrives, it will only send a prompt. The employee decides whether to start tracking.

Are reminders sent by push notification?

Not yet. Reminders are sent by email today. Push notifications in the mobile apps are coming soon.
