How to choose a time tracking tool
Most time tracking tools can start and stop a timer. The differences show up later: when the team grows, when a client has to approve hours, when payroll needs a specific file, or when the works council asks what the app records. Before you compare feature lists, write down the questions below and check every candidate against them.
- Price per user: what does each active user cost per month, and is that price billed monthly or only with an annual commitment?
- Free plan: is there one, how many users does it cover, and which features are missing from it?
- Seat minimums: do you pay for a minimum number of seats, even if your team is smaller or shrinks in a quiet season?
- Add-ons: are approvals, scheduling, GPS or payroll exports sold separately on top of the base price?
- Client approval: can a client sign off hours without creating an account or learning a new tool?
- Field features: is there a shared kiosk with PIN for crews without work phones, and location features such as geofences that only act at a work site?
- Payroll exports: can the export be shaped to what your payroll provider expects, or will someone rework a spreadsheet every period?
- Privacy and monitoring: does the tool take screenshots, log keystrokes or track location continuously, and can you switch those off or avoid them entirely?
How we compare, and what we leave out
Each comparison page uses the vendor's own public pricing page as its source, together with the date we last checked it. We link to that page so you can verify the numbers yourself. Pricing changes often, so if a figure matters to your decision, check the vendor's page before you sign anything.
We do not make claims about competitors beyond what their public pricing pages say. No reviews of their support, no guesses about their roadmap, no benchmark we cannot show. Every tool on this list is a good fit for some teams, and each page says so honestly.
Where TimeTracking fits
TimeTracking is built for shift, field and staffing teams. It is free for up to 5 users; Core costs €1 and Pro €3 per user per month, with no add-ons and no seat minimum. Clients approve hours through a secure magic link and sign with a one-time email code, without an account. A kiosk with PIN covers shared devices, and payroll exports are configurable. There are no screenshots and no keystroke monitoring, and data is hosted in the EU (Ireland).
If your team mainly tracks billable project time at a desk and invoices from the same tool, a tool built for agencies and freelancers may suit you better, and the comparison pages point that out. TimeTracking focuses on hours: capturing, approving and exporting them, not invoicing or CRM.
