Enter times as HH:MM (24-hour clock) and the break in minutes. Hours = end − start − break.
How to fill in the weekly timesheet
Fill in the header
Write the employee's name, the employer and the week number at the top.
Record each day
Enter the date, start and end time as HH:MM on a 24-hour clock, and the break in minutes.
Check the hours
In Excel the hours column fills itself. On paper, subtract start and break from end.
Sign and hand in
The employee signs, the manager approves, and the sheet goes to payroll.
What is on the sheet
Each line has the day, the date, start and end time, the break in minutes, the hours worked, the project or task and room for notes. The header asks for employee, employer and week number, and the bottom has two signature lines: one for the employee and one for the manager who approves.
A week runs from Monday to Sunday. If your company counts weeks differently, simply cross out the pre-filled day names.
Tips for accurate hours
Write times on a 24-hour clock (17:30, not 5:30) so nobody has to guess. Record the break in minutes rather than as a time range; it makes the calculation simpler and shows straight away whether the break is long enough. Overnight shifts work too: the Excel formula handles an end time after midnight.
Payroll usually wants decimal hours, so 7 hours 45 minutes becomes 7.75. The Excel file shows hours as decimals; if you work on paper, use the conversion chart.
Keep the records
In many countries employers must be able to show working and rest times. In the Netherlands the Arbeidstijdenwet requires proper records of working and rest times, and in Germany the Federal Labour Court ruled in 2022 that employers must record the start and end of daily working time. A signed weekly sheet, filed safely, is one way to do that.
When an app is the better choice
A weekly sheet works for a handful of people with regular hours. Once you have more than a few employees, people on different sites, or a payroll provider that needs a specific file, collecting and checking paper every week takes more time than the hours are worth.
TimeTracking is free for up to 5 users. Core costs €1 and Pro €3 per user per month, with no add-ons and no seat minimum. People record hours on their phone or on a shared kiosk with a personal PIN, clients approve through a secure magic link with a one-time email code, and payroll gets a CSV or XLSX file (or the SD Worx format) instead of a stack of sheets to retype.
Frequently asked questions
Is the weekly timesheet template free?
Yes. Download it as Excel or CSV or print it from the page. There is no sign-up and no watermark.
Does the Excel file calculate hours automatically?
Yes. Each line calculates end minus start minus the break, and the sheet adds up the week. It also handles shifts that end after midnight.
Can I use it in Google Sheets?
Yes. Upload the XLSX file to Google Drive and open it with Google Sheets; the formulas keep working.
How long should I keep timesheets?
That depends on the country and on tax and payroll rules. Check the labour-law page for your country and ask your accountant for the retention period that applies to you.
