How to fill in the bi-weekly timesheet
Set the pay period
Write the employee, the employer and the first and last date of the 14-day period.
Fill in both weeks
Record start, end and break for each day of week 1 and week 2. Leave days off empty.
Check each week
Look at the hours per week, not just the total, so overtime in one week is not hidden by a short second week.
Sign at the end of the period
Employee and manager sign once, after the last day, and the sheet goes to payroll.
Why a two-week sheet
If you pay every two weeks, a weekly sheet means twice the paperwork and twice the signatures. A bi-weekly sheet matches the pay period exactly. It also suits a four-weekly payroll, where two bi-weekly sheets make up one period.
The sheet has the same columns as the weekly version: day, date, start, end, break in minutes, hours, project and notes. The days are pre-filled from Monday of week 1 to Sunday of week 2.
Watch the weekly limits
Many overtime rules and statutory limits work per week, not per pay period. Ten long days in a row can be fine over 14 days on average and still break a weekly maximum or the weekly rest. Check each week separately, and check the rest between shifts when people work late and start early.
From sheet to payroll
Payroll usually works in decimal hours, so convert 38 hours 15 minutes to 38.25 before you enter it. The Excel file does this for you. If you collect sheets from many people, put the totals in one list before you hand them over, so the payroll provider receives one file instead of a pile of scans.
When an app is the better choice
Two weeks is a long time to wait before anyone notices a missing day or a wrong start time. With an app, hours are recorded daily, the planner sees gaps as they happen, and the period closes with an export instead of a pile of paper.
TimeTracking is free for up to 5 users. Core costs €1 and Pro €3 per user per month, with no add-ons and no seat minimum. People record hours on their phone or on a shared kiosk with a personal PIN, clients approve through a secure magic link with a one-time email code, and payroll gets a CSV or XLSX file (or the SD Worx format) instead of a stack of sheets to retype.
Frequently asked questions
Is bi-weekly the same as semi-monthly?
No. Bi-weekly means every two weeks (26 pay periods a year). Semi-monthly means twice a month, for example on the 15th and the last day. For semi-monthly or monthly pay, the monthly template fits better.
Does the sheet work for a four-weekly payroll?
Yes. Use two bi-weekly sheets per four-week period, or one weekly sheet per week.
Can I add more columns?
Yes. The Excel file is not locked. Add columns to the right of the notes so the hour formulas keep working.
