Worker signature
Client approver: name, signature, date
The client signs to confirm the hours worked. Send the signed sheet to the agency before the payroll deadline.
How the client timesheet works
Agency fills in the header
Worker, agency, client, placement and the client's PO number or cost centre, so the sheet can be matched later.
Worker records the week
Start, end and break per day, plus a shift or allowance code when the client uses them.
Client signs
The approver at the client checks the hours and writes name, signature and date.
Send before the deadline
The signed sheet goes to the agency before the payroll deadline, as a photo, scan or the original.
What makes this sheet different
In staffing, three parties are involved: the worker, the agency that employs and pays them, and the client where the work happens. The client is the one who knows whether the hours are right, so the client signs. That signature is what the agency uses to pay the worker and to invoice the client.
That is why the header asks for the placement and a PO number or cost centre, and why each line has room for a shift or allowance code. Without those, the back office spends its time working out which client, which rate and which invoice a sheet belongs to.
Tips for agencies
Fill in the header before the sheet goes out, so the worker only has to record hours. Agree with each client who signs and before which day. Ask for a readable name next to the signature; a squiggle alone does not tell you who approved. Breaks in minutes and times on the 24-hour clock prevent most disputes.
When an app is the better choice
Paper client sheets are the slowest part of most agency payrolls: chasing signatures, reading handwriting, matching sheets to placements and retyping hours. With TimeTracking the client approves each week through a secure magic link and signs with a one-time email code, without an account. Conflicts between the worker's hours and the client's hours are flagged before payroll.
TimeTracking is free for up to 5 users. Core costs €1 and Pro €3 per user per month, with no add-ons and no seat minimum. People record hours on their phone or on a shared kiosk with a personal PIN, clients approve through a secure magic link with a one-time email code, and payroll gets a CSV or XLSX file (or the SD Worx format) instead of a stack of sheets to retype.
Frequently asked questions
Who should sign the client timesheet?
The person at the client who supervises the work and is authorised to approve hours. Agree on that person when the placement starts.
Is a photo of the signed sheet enough?
For many agencies a clear photo or scan is accepted. Check your own agreement with the client and your record-keeping obligations.
What is the shift or allowance code for?
It tells payroll which rate applies, for example an evening, night or weekend shift, as agreed in the collective agreement or the client contract.
Can the client correct hours?
On paper the client can cross out and initial a correction. In TimeTracking the client can correct a day before approving, and every change is kept in the audit trail.
