In high season your team doubles. Workers from Poland, Romania, Ukraine and beyond start on Monday. They need the right pay on Friday. With TimeTracking they clock in at the shed with a PIN, in their own language. You get hours per greenhouse, field and crop, without paper lists. Free for up to 5 users, then from €1.

## How growers use TimeTracking

1. **Set up greenhouses and fields**: Add each greenhouse, section or field as a site. Add the crops or tasks you want to track as projects, such as harvesting, planting or crop care.
2. **Clock in at the shed**: Put a tablet kiosk in the canteen or shed. Every worker clocks in and out with a personal 6-digit PIN, in their own language. Team leaders and permanent staff can use the app.
3. **See hours per site and crew**: Hours land on the greenhouse or field and the task. Compare planned and worked hours per crew. You see where the season costs more labour than expected.
4. **Approve and export**: The team leader or office approves the week. Approved hours go to payroll. For agency workers, you share them with the staffing agency, or the agency approves them.

## High season, new faces every week

Picking, planting and packing peak at the same time every year. Often seasonal workers do this work, for a few weeks or months. Many have a phone but no company email. Some do not speak Dutch, German or English. Paper lists in the canteen and a spreadsheet on Friday are still common.

Invite new workers by SMS. They log in with a one-time code and pick their own language. So they can clock in on their first morning. When the season ends, you deactivate them. Their hours stay in the history, and you only pay for active users.

- Invite by SMS, no company email needed
- Apps in 20 languages, including Polish, Romanian and Ukrainian
- Working on day one, no training session
- Pay only for active users

## A kiosk at the canteen or shed

Phones do not belong among the plants, and gloves make them hard to use. Put a tablet kiosk in the canteen, the shed or at the greenhouse door. Everyone clocks in and out with a personal 6-digit PIN, in their own language. After 5 wrong PINs the tablet locks for 15 minutes. That stops people clocking in for a colleague, without photos or biometrics.

You can tie the kiosk to one location, so clock-ins land on the right site. It needs internet, so place it where the Wi-Fi is stable. Out in the field, the mobile app keeps its timer running without signal. It sends the hours later.

## Hours per greenhouse, field and activity

Labour is one of the biggest costs in growing. Link every hour to a greenhouse, field or section. Link it to a task such as harvesting, planting or crop care. Then you see what each crop really costs in labour per week. No need to ask team leaders for extra reports.

Rosters with repeat patterns make it easy to plan crews for the season. Planned versus worked hours per crew and site show where plan and reality drift apart.

## Long days, breaks and rest time

In peak weeks the days are long. TimeTracking records breaks as separate entries. It can deduct the break at kiosk clock-out. The rule engine warns planners when a roster leaves too little rest between shifts. They see it before the roster goes out.

Give overtime and allowances their own payroll codes in the export. Then the extra hours of a heatwave week are paid the way your agreement says.

- Breaks recorded clearly, automatic deduction at the kiosk
- Rest-time warnings in the roster
- Overtime and allowances on their own payroll codes

## Your own staff and agency workers together

Many growers mix permanent staff with seasonal workers from staffing agencies. Both clock in at the same kiosk. For agency workers, you share approved hours with the agency. Or the agency approves them through a client magic link. No more spreadsheets back and forth every week.

For your own staff, you export approved periods to payroll. Live today: an SD Worx-format export, CSV and XLSX exports in your own layout, and the REST API. Connectors for Loket, Nmbrs and AFAS are coming soon. All exports are included from €1, with no add-ons.

## Privacy workers can accept

TimeTracking does not track location all the time. It takes no photos at the kiosk and uses no face recognition. It records when people work and where they clock in, nothing more. That is easy to explain to seasonal workers in their own language, and to your works council.

## Frequently asked questions

### Can seasonal workers use the app in their own language?

Yes. The apps and the kiosk are available in 20 languages, including Polish, Romanian and Ukrainian. Each worker picks their own.

### Do workers need a smartphone?

No. At a tablet kiosk they clock in and out with a personal 6-digit PIN. Workers who prefer the app can use their own phone.

### Does it work in the field without coverage?

The mobile app keeps the timer running offline. It sends the hours when it is back online. The kiosk needs a connection, so place it where the Wi-Fi is stable.

### Can I see hours per greenhouse or crop?

Yes. Every entry is linked to a site and a task. Reports show hours per greenhouse, field, crop, crew and period.

### Does TimeTracking register piece rates?

No. TimeTracking records hours, breaks, travel and expenses. Production counts such as crates or kilos are not part of it.

### What does it cost in high season?

Free for up to 5 users, then €1 per active user per month on Core. Deactivate seasonal workers after the season, and they no longer count.
